1.  How often is the St Peter & St Paul’s electoral roll updated?


It’s that time of year again: Time to renew the St Peter & St Paul’s electoral roll! It might not sound very exciting, but it’s an important thing that we need to do as a church. Each year we have a specific period where we update the electoral roll. This year (2024) we have untill Wednesday 27th March 2024.


2.  What is the electoral roll?


The electoral roll is literally a register of people who can elect other people in the church, a bit like being on the civic electoral roll allows you to vote in local and Parliamentary elections. Being on the church electoral roll means that you can vote on any relevant issues at the Annual Parochial Church Meeting (APCM) and stand for election to the Parochial Church Council (PCC). .

 

Joining the electoral roll can be a way of confirming your commitment to the St Peter & Paul’s community and to our vision. But it also allows you to take part in the life of the wider Church of England, at, deanery, diocese, and even national levels, if you’re interested in that.

 


3. Who is the Electoral Roll for?

 

The Church Electoral Roll is for lay persons only. Retired clergy are still clergy and therefore not eligible for inclusion.  There are certain criteria which need to be met to be entitled to be included on the Electoral Roll,  these are detailed on the “Application for Enrolment on the Church Electoral Roll” form which needs to be completed.


4. Can I be on more than one Electoral Roll?


A person can be on the Roll of several parishes if fulfilling the above criteria, but can only use one parish for the purposes of membership of the PCC, elections to synods, etc.


5. When can my name be added to the Roll?


Names can be added to or removed from the Roll during the year, except during the short time interval between the completion of the Electoral Roll and the close of the APCM.


6. If I live in the Parish; won't may name be automatically added to the Electoral Roll?


No. Living in the parish will not automatically add you to the electoral roll.


7. If I already attend St Peter & St Paul’s Church regularly; won't my name be automatically added to the Electoral Roll?


No. Coming to church regularly or giving regularly will not automatically add you to the electoral roll.


8. So how do I get my name added to the Electoral Roll?


There is a copy of the current Electoral Roll (Rev 2023) in the orange binder at the rear of Church, so you can check whether you are already included. If not, you can apply by filling in your details on the “Application for Enrolment form” these are available in the orange binder at the rear of church.   Simply fill in the form, sign and pop it into one of the envelopes provided addressed to The Electoral

9. Once my name is on the electoral roll how long will it stay there?


The electoral roll is revised annually with minor amendments such as a change of address. However, to ensure that its contents remain substantially correct, every sixth year a new electoral roll is created from scratch and all potential members need to re-apply to have their name added to the new roll. This process will next happen in 2025.


10. How do I get my name removed from the Electoral Roll?


You can be removed from the electoral roll by writing to the Electoral Roll Officer.


11. What will happen to my details on the Electoral Roll Application Form?


Use of email addresses and other personal data


You do not have to provide an email address on this Form. If you do provide one, the Parochial Church Council  and the electoral roll officer are entitled to use that email address to communicate with you in connection with the maintenance or revision of the Roll or the preparation of a new Roll or with elections to or membership of the Council.


The Church Representation Rules, impose certain requirements for your name and address to be given to a third party, such as the diocesan electoral registration officer, in connection with elections to or membership of a deanery synod, diocesan synod or the House of Laity of the General Synod. If you provide an email address on this Form, it will be given to the third party along with your postal address.


A third party to whom your name and address have been given under the Church Representation Rules is in certain cases required by the Rules to pass them on to another person, such as the presiding officer in a synodical election. If you provide an email address on this Form, that email address will be given to the other person along with your postal address.

 

Any person to whom your email address or other personal data is given under the Church Representation Rules is required by those Rules to hold the data securely. Furthermore, if you do provide an email address on this Form, that does not give anybody the right to use it for any purpose other than those permitted by the Rules;  so it cannot, for example, be used for social matters or fund-raising.

 

The roll is published after each annual revision and after the preparation of a new roll. The published roll will include your name (as well as the name of every other person on the roll) but none of your other personal data (as defined by the Data Protection Act 2018) will be made public as a result of your inclusion on the roll.
